Frequently Asked Questions

    • Will I be paid during my leave of absence?
      • Typically employees use their available, and applicable, accrued paid leave balances to remain in a paid status during a leave of absence. In rare exceptional circumstances, an employee may be granted an unpaid leave of absence.  
      • Our Leaves and Accommodations team will provide a consultation with the employee requesting a leave of absence and provide an analysis of their paid leave options. 
      • Employees may access their accrued leave balances via the Employee Portal.
    • What documentation do I need for my own medical leave or to care for a family member?

      Employees are required to submit sufficient medical certification from their health care provider(s). The following form may be used for the employee and/or their family member.

    • Who should I notify of my leave of absence?
      • Notify your manager and email hraccommodations@mtsac.edu of your upcoming leave of absence with as much advanced notice as practicable.
      • Typically, a minimum of 30-days advanced notice is required for planned leaves of absence.

    • I need to take an emergency leave of absence. What do I do?

      Contact Human Resources by calling (909) 274-4110 or email at hraccommodations@mtsac.edu or submit a leave request online at http://mtsac.edu/leaverequest.

    • What are 100 ½ days? Who is eligible?

      In accordance with Education Code Section 88196, a person employed in the classified service is credited once a fiscal year with a total of one hundred (100) working days of paid sick leave, such days are compensated at fifty percent (50%) of the unit member's regular wage and shall not be accumulate from year to year.  This paid sick leave shall be available only after all other sick leave entitlement has been exhausted and shall be exclusive if any other paid leave, holidays, or vacation time to which the unit member may be entitled. This leave is only available for the employee's own personal injury/illness. 

    • How long in advance do I give notice of my leave?

      Sufficient notice means 30 days advance notice if the need for the reasonable accommodation or as soon as practicable if the need is an emergency or unforeseeable.  

    • Who will inform my manager of my leave of absence?

      Please follow your departmental process to report your unplanned absence(s) and then report your unplanned absences to Human Resources by calling (909) 274-4110 or email at hraccommodations@mtsac.edu or submit a leave request online at http://mtsac.edu/accommodationrequest. 

    • I’ve exhausted all available paid leave? What happens to my position?

      When all available leaves of absence, paid or unpaid, have been exhausted and if the employee is not medically able to assume the duties of the person's position, the person, if not placed in another position, shall be placed on a reemployment list for a period of 39 months. When available, during the 39-month period, the person shall be employed in a vacant position in the class of the person's previous assignment over all other available candidates except for a reemployment list established because of lack of work or lack of funds, in which case the person shall be listed in accordance with appropriate seniority regulations. 

       To be eligible for placement on the 39-month reemployment list, an employee must have  worked a minimum of three continuous years of service for the College.

      An employee who has been placed on a reemployment list, as provided above, who has been medically released for return to duty and who fails to accept an appropriate assignment,  shall be dismissed.

    • What is subdifferential pay? Who is eligible? 

       Full-time Faculty are eligible for subdifferential pay. Subdifferential pay is the difference between the Faculty member's regular pay rate and the rate of the substitute. Please see  section 88196 of the California Ed Code for more information. 

    • I have exhausted all my leave. What is catastrophic leave and how do I access catastrophic leave?

      Catastrophic leave is available to eligible unit members who are incapacitated for an extended period of time. Catastrophic leave allows the employee to take time off from work for an extended period of time to care for a family member or themselves, and taking extended time off work creates a financial hardship for the employee because they have exhausted all of their sick leave or other paid time off.

    • The court paid me for jury duty. Do I get to keep it?

       No. If you have received payment from the court, you must submit the payment to Payroll.

    • I made arrangements for leave or an accommodation with my manager. Do I need to tell Human Resources?

    • If I am injured outside of work, who do I notify? 

      Please contact Human Resources at (909) 274-4110 or email hraccommodations@mtsac.edu. 

    • Can I work remotely while I wait for verification from my health care provider?

       No, you may not work remotely pending verification from your healthcare provider. 

    • What is considered to be satisfactory documentation from a healthcare provider?

      Satisfactory medical documentation from a healthcare provider includes: work restrictions and/or limitations, the duration of the work restrictions/limitations, your name, the name and contact information of the healthcare provider, and the healthcare provider's expertise must be applicable to evaluating your work restrictions/limitations.  

    • Who fills out my timesheet while I am on a Human Resources approved leave of absence?   

      Faculty Employees:  The division Administrative Specialist(s) will report your leave by submitting a  "Faculty Absence Report"  to Payroll.  For District Paid FMLA, the paycode will be entered on your absence report (requires HR approval).

      CSEA 262, Confidential, and Management Employees:  You may submit your timesheets prior to your leave  of absence through WorkForce via the Mt. SAC Employee Portal.  If you are unable to submit your timesheets while on leave, Payroll will apply available sick leave for the duration of your leave of absence. Human Resources will notify Payroll of your approved paid leave usage, if any.  

      For District  Paid FMLA (requires HR approval), enter "Release Time" for your hours of absence and include "Paid FMLA Leave" in the comments on the respective dates. 

      CSEA 651 Employees: Contact your department manager to ensure your leave of absence is reported accordingly with the leave category you are requesting to use e.g. sick, vacation, floating holidays, etc. You may submit your timesheets prior to your leave  of absence through WorkForce via the Mt. SAC Employee Portal.  If you are unable to submit your timesheets while on leave, Payroll will apply available sick leave for the duration of your leave of absence. Human Resources will notify Payroll of your approved paid leave usage, if any.  

      Short-term Hourly (Student, Hourly, and Professional Expert employees)You may submit your timesheets prior to your leave of absence. For your dates of leave, you are entitled to use sick leave for your own illness or of a family member, assuming you have the accrued leave available.

      All  Employee Groups: COVID-19 related leave, you may use the paycode  "Release Time". Please note, (HR approves all COVID-19 related leave).  

      Please note, Human Resources does not coordinate Bereavement, Jury Duty, Personal Necessity, Family Illness, Floating Holidays, Vacation, Compensable Time Earned, and Sabbatical leaves of absence. You may requests the use of these leaves of absence directly with your department manager.
